Due to rapid growth we are searching for a Sales Coordinator. This conscientious employee’s ability to solve problems and manage tasks to completion will be critical to the sales and operational success of the company.

Primary Functions and Responsibilities

While most of the job will entail familiar and structured tasks, the position requires flexibility and the ability to change directions quickly and smoothly to address the oft times hectic pace and direction of a growing sales organization. Therefore, we begin the job definition with: And all other tasks as assigned.

Sales Support

  • Review direct customer/distributor emails, PDF’s and any other order entry method to obtain and enter order information into sales and fulfillment spreadsheets and/or data bases.
  • Communicate with direct customers/distributors to answer order related questions, reconcile order confusion or inconsistencies, and/or to solve problems as they arise.
  • Redirect customers or distributors to appropriate department or person when issues require additional attention beyond the scope of the coordinator role
  • Follow through (internal and external) with all inquiries, fulfillment questions, disputes, etc. to ensure customer problem resolution.

Order Processing

  • Daily, input order information into appropriate spreadsheet/data bases
  • Double check all order entries to be sure of accuracy
  • Ensure data has been expeditiously transmitted to appropriate departments
  • Manage changes to orders as needed and ensure changes are entered and communicated to appropriate departments/people
  • Thoughtfully manage data files to ensure accuracy, timeliness, storage, accessibility and safety of information

Distributor and Direct Customer Support

  • Provide just in time sales and order support for all assigned accounts via telephone and email.
  • Custom contracts. Facilitate special circumstances and arrangements to ensure customer receives product, timelines, and rates as prescribed by and/all customized, contracted fulfillment conditions
  • Redirect and follow through to resolution and questions, concerns, requests, etc. that come through direct customer/distributor communications.

Tradeshow Support

  • Review requirements and prepare materials, supplies, products, marketing collateral, ancillaries, etc. for shipping to tradeshows.
  • Document all the above to ensure accuracy and manage inventory
  • Ensure transportation and timeliness of arrival of Tradeshow materials, etc. to TS venue
  • Receive returning materials, etc. from tradeshow, document, and store appropriately
  • Follow though with marketing to discuss the adequacy of materials, supplies, timeliness of arrivals etc. to plan for next event.

Sales Rep Support – Sample Order Management

  • Process requests for sample orders and calendar.
  • Prepare Sample Orders to be shipped
  • Arrange shipping and ensure arrivals

Qualifications

Requirements

  • Previous successful experience using a pc to input/manage data and files
  • Proficiency at inputting data and basic retrieval of data using Excel
  • Excellent listening skills.
  • Clear and concise spoken language skills.
  • Ability to multitask without loss of focus
  • A committed drive to manage tasks and assignments to completion
  • Ability to translate customer concerns into concrete solvable problems
  • Follow through, follow through, follow through
  • Previous support of a sales organization (preferred)
  • Retain composure with shifting priorities, timelines, tasks (occupational agility)
  • Occasional need to work in a warehouse environment (Tradeshow Support) and lift up to 20 pounds
  • Must be organized and a self-starter with a passion for “getting things done”
  • Be professional and courteous always

COMPENSATION: At Health-Ade, we know our strongest assets are our people, and we recognize our total compensation package is a huge factor in how you are recognized for the impact you have on the company reaching its goals. For this role, the estimated base salary range is between $24-$26/hr. The actual base salary will vary based on various factors, such as market location, level of experience, and job-related knowledge, skills, and experience. This role will remain posted until filled.
