WHO WE'RE INVITING TO THE TABLE
The Executive Assistant provides high-level strategic and administrative support to the CEO and SVP of Operations, including complex calendar and email management, travel and expense coordination, preparing reports and presentations, drafting correspondence, and managing sensitive information with discretion. This role ensures executives are fully prepared for meetings and priorities through planning, agenda development, note-taking, and tracking follow-up items across cross-functional partners. In addition to daily workflow management, the Executive Assistant oversees project coordination, anticipates needs, and drives execution on key initiatives that support organizational effectiveness. Principal working relationships includes CEO, CFO, COO, CMO, General Counsel, SVP of Operations, SVP of Culinary, SVP of IT & Restaurant Services, and Administrative Project Manager. This role is located in our headquarters in Scottsdale and is a hybrid role - 3 days in office, 2 remote.

The Executive Assistant also manages all aspects of Board administration — including scheduling, material preparation, logistics, governance documentation, and Board member onboarding and offboarding — ensuring a seamless and professional experience. Acting as a central coordination point across the executive team, this role helps maintain alignment, continuity, and a consistent operational rhythm. The ideal candidate is proactive, highly organized, resourceful, and able to exercise sound judgment in a fast-paced and evolving environment.

THE RECIPE FOR SUCCESS
• Provide high-level administrative support to the CEO & SVP of Operations, including complex calendar management, email prioritization, and meeting coordination.
• Prepare executives for all internal and external meetings through proactive agenda planning, briefing materials, note-taking, and tracking follow-up actions to completion.
• Draft, edit, and prepare correspondence, presentations, reports, and documents with accuracy, clarity, and executive-level polish.
• Manage travel arrangements, itineraries, reservations, and expense reports for the CEO & SVP of Operations.
• Serve as primary liaison between the CEO/SVP of Operations and internal/external partners, ensuring timely communication, alignment, and discretion with sensitive information.
• Oversee project coordination and assist in driving strategic initiatives by monitoring timelines, anticipating needs, and ensuring deliverables are met.
• Manage all aspects of Board administration, including scheduling quarterly meetings and monthly calls, preparing and distributing materials, compiling Board books/decks, managing minutes and resolutions, coordinating logistics, and onboarding/offboarding members.
• Maintain and update annual Board calendars and governance documentation, ensuring alignment across the executive team and stakeholders.
• Coordinate, plan, and execute key company events and leadership gatherings, including the annual True Leadership Conference, in partnership with executive and field teams.
• Support cross-functional departments on administrative needs, document management, SharePoint/Teams organization, and communication workflows.
• Assist with internal processes such as policy updates, SOP organization, project tracking, and companywide communication alignment as needed.
• Build strong relationships across the organization to facilitate information flow and anticipate operational needs.
• Perform other duties and special projects as assigned.

• Tech-savvy and resourceful; adept at learning new systems quickly and optimizing workflows across tools and platforms.
• Confident communicator who builds strong cross-functional relationships and collaborates well at all levels of the organization.
• Detail-oriented with strong follow-through; able to maintain accuracy while balancing multiple tasks simultaneously.

Qualifications:
• Bachelor’s degree in Business Administration or a related field preferred, or equivalent professional experience.
• 5–7 years of progressively responsible experience supporting senior leadership in an administrative, operations, project management, or executive assistant capacity.
• Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience managing complex calendars, preparing executive-level presentations, and organizing high volumes of information.
• Strong familiarity or experience with tools such as Asana, Concur, Dayforce, or similar project management, expense management, and HRIS systems.
• Excellent written and verbal communication skills, with the ability to draft clear, concise, and polished materials.
• Demonstrated experience coordinating meetings, preparing briefing documents, taking meeting minutes, and ensuring follow-through on action items.
• Strong time management and prioritization skills; able to manage multiple deadlines calmly and effectively in a fast-paced environment.
• Proven ability to maintain confidentiality and handle sensitive information with discretion.
• Hospitality or multi-unit operational experience strongly preferred but not required.
• Ability to work independently, exercise sound judgment, and adapt easily to shifting priorities.

Travel Requirements:
Ability to travel up to 25%, including quarterly Board Meetings, key leadership off-sites, and occasional market visits or special events.
