Overview: Under the direction of the Human Resources Business Partner, the HR Coordinator will be responsible for recruitment, onboarding, benefits administration, and document creation, such as offer letters, benefits information, employment letters, and other correspondences. He/she will also assist with other HR/administrative tasks and provide support on HR projects & employee events.
Lead the onboarding process for new employees, including setting up pre-employment screenings, conducting background checks, obtaining identification documentation for the E-Verify process, arranging new hire orientation meetings, and serving as backup for new hire onboarding/GMP training as needed.
Add new employees into our HRIS, as well as on our company benefit program sites, including health insurance plans, and 401k plans, and submit termination of employees from those plans, as directed, after an employee leaves the company.
Handle the benefits administration process for new hires, current employees, and terminated employees, working closely with our insurance broker and COBRA administrator as needed.
Complete employment verifications, and referral requests, and compile letters for employee relations matters.
Assist with compiling the monthly Employee Newsletter, gathering information from various sources, typing up articles, etc.
Create new hire folders and file all necessary documents, as well as filing of all employee paperwork regularly. Terminate files for former employees and handle filing of paperwork for those files as needed.
Complete checklists for new hires and exiting employees, submit IT tickets, and assist with determining the desk location for all new hires.
Conduct 30-day check-in meetings with new hires and provide feedback to their direct manager and the Human Resources Business Partner.
Handle the new hire 90-day review process, providing managers with the appropriate forms and deadline, and obtaining the signed paperwork for the employee’s file.
Promote wellness throughout the business and partner with the Human Resources Business Partner to provide ideas on activities to keep employees engaged in living a healthy lifestyle.
Assist in updating information on the company Intranet regularly and as needed.
Complete the tracking log for all disciplinary action documents and file forms accordingly.
Assist with tracking training documents, including creating log binders.
Handle administrative tasks such as scanning documents, making copies, creating folders/binders, and any other task for HR or departments as requested.
Maintain I-9 binders, moving terminated employees to the terminated binder and purging forms when required, based on applicable state/federal laws. Ensure employees on work visas or other work authorizations provide updated documents by/before their expiration date.
Purging old employee files on an annual basis, following applicable state/federal laws.
Assist the HR team with employee activities such as employee picnics, food distribution, ice cream socials, wellness activities, etc.
Perform other duties as assigned by management, within scope and ability.
Qualifications
High School diploma required, college degree in HR or administration preferred.
3+ years of experience in an HR role; within a fast-paced environment is a plus.

Proven ability to work in a highly confidential environment with confidential documentation, and the understanding not to discuss with anyone outside of direct manager.

Strong desire to learn new things and take on additional tasks as needed.
Team player, willing to jump in to help the HR team and other departments throughout the business whenever needed.
Ability to read and understand Standard Operating Procedures (SOPs).
Ability to work Monday – Friday, during normal daytime business hours, with overtime and weekends when requested. Able to work on-site.
Ability to maintain regular and predictable attendance and communication with management for time off needed.
